Performance Feedback Coach Manager Documentation Tool
Step 1 of 3

Tell Us About the Situation

This tool coaches you through drafting six types of performance-related documents and scripts — from a conversation script or follow-up documentation email, to a formal warning (Levels 1–3) or Performance Improvement Plan. The agent acts as a thinking partner, asking targeted questions to help you reach the level of specificity that makes documentation defensible and fair. If you're unsure which document type fits your situation, talk it through with your HRBP before starting.

  1. 1
Select a document type and describe the performance gap, including expectations and any support you have provided or plan to provide.
  2. 2
Work through the AI's questions. The coach will ask multiple rounds to identify specific dates, metrics, prior conversations, and measurable goals. The more specific you are, the stronger the document.
  3. 3
Copy the core content into your warning or PIP template. Header fields and signature blocks are already in your template — this tool generates the body only.
Plan 5–10 minutes. The coaching process involves several rounds of questions. Don't start until you have focused, uninterrupted time to complete the draft in one sitting.
